Player Terms and Conditions
Last updated: 28 May 2026
These terms are a product template and should be reviewed by counsel before public launch.
1. Scope
These Player Terms govern player access to BookGames websites, apps, booking flows, payment flows, session invites, reviews, chats, and related services.
BookGames is an online booking and reservation platform for offline recreation venues such as gaming lounges, console lounges, board-game cafes, esports arenas, PC gaming centers, VR arcades, racing simulator lounges, and similar physical venues.
BookGames does not offer betting, gambling, fantasy gaming, lottery, cash contests, real-money gaming, wallet withdrawals, or chance-based rewards.
2. Eligibility and Account
Players must provide accurate signup, contact, and booking information. BookGames may verify mobile number, email, device, payment, location, or other signals to prevent fraud, abuse, and unauthorized access.
Players are responsible for keeping login credentials and OTPs confidential. Any activity from a player's account may be treated as activity authorized by that player unless reported promptly.
BookGames may suspend, restrict, or terminate accounts that create operational risk, violate these terms, misuse bookings, harass others, attempt payment fraud, damage venues, or use the platform for prohibited activities.
3. Venue Relationship
Venue services are provided by independent partner venues. In these terms and elsewhere on BookGames, "Partner" refers to the lounge owner (or the business and team operating that lounge). Where we mean a payment service provider or other third party, we use the full term such as "payment partner".
BookGames enables discovery, booking, payment coordination, operational tooling, and support workflows. Unless expressly stated otherwise, the lounge (operated by the Partner) is responsible for providing the booked physical space, station, table, device, accessories, and on-site service.
BookGames may moderate or verify listing content, but players should review final booking details before payment.
4. Bookings
Players must arrive on time and follow venue rules. A booking may specify venue, date, start time, duration, resource type, station, number of players, access code, payment amount, fees, taxes, cancellation policy, and no-show grace period.
BookGames may reject, cancel, or modify bookings where there is suspected abuse, payment failure, venue unavailability, duplicate booking, pricing error, safety issue, compliance issue, or force majeure event.
Players may not resell, transfer, or commercially exploit bookings without BookGames and venue approval.
5. Payments, Fees, and Taxes
Payments may be processed by third-party payment gateways, banks, UPI providers, card networks, or other payment partners. Players agree to the applicable payment partner terms during payment.
The payable amount may include venue charges, platform fees, convenience fees, payment gateway charges, taxes, discounts, cancellation fees, no-show charges, late fees, extension fees, or other disclosed charges.
BookGames may collect payment on behalf of the venue, as a marketplace intermediary, agent, or platform service provider depending on the commercial and invoicing model adopted for the booking.
6. Cancellations, No-Shows, and Refunds
Cancellation and refund eligibility is governed by the policy shown at checkout or in the booking details. Policies may vary by venue, date, demand, booking type, and admin configuration.
Refunds, when approved, are normally returned to the original payment method through the payment gateway. Gateway timelines, banking delays, failed refunds, chargebacks, and payment network rules may affect the actual credit date.
BookGames may withhold or reduce refunds for late cancellation, no-show, venue rule violation, property damage, fraudulent booking, payment dispute abuse, or any other reason disclosed in the applicable policy.
If the venue cancels a confirmed booking due to closure, resource breakdown, overbooking, safety issue, or operational issue, BookGames may offer a refund, reschedule option, or alternative venue depending on availability and policy.
7. Extensions and Walk-In Changes
Session extensions are subject to live availability, venue approval, pricing, and payment confirmation.
A venue may deny extension if the resource is booked, unavailable, under maintenance, or restricted by policy. Changes requested at the venue may require additional payment and may be recorded in BookGames.
8. Player Conduct
Players must behave lawfully and respectfully at venues and on the platform. Players must not harass staff or other players, damage equipment, tamper with devices, bypass access controls, bring prohibited items, misuse chats, upload unlawful content, post fake reviews, or create safety issues.
Venues may deny entry or end a session where conduct violates venue rules, law, safety requirements, or these terms. Refunds may be denied in such cases.
9. Prohibited Uses
Players must not use BookGames or partner venues for betting, gambling, fantasy gaming, real-money gaming, lottery, cash contests, money laundering, wallet withdrawal schemes, illegal tournaments, unlawful content, cyber abuse, piracy, fraud, unauthorized resale, or any activity prohibited by law or payment partner rules.
10. Reviews, Ratings, Chat, and User Content
Players may submit reviews, ratings, messages, photos, reports, and other content where enabled. Players grant BookGames a non-exclusive, worldwide, royalty-free license to host, display, moderate, reproduce, and use such content for operating and promoting the platform.
Players must not submit false, defamatory, obscene, infringing, hateful, abusive, private, confidential, or unlawful content. BookGames may remove content, restrict accounts, preserve records, or cooperate with lawful requests where required.
11. Privacy and Data
BookGames processes player data to create accounts, verify identity/contact, process bookings and payments, prevent fraud, provide support, maintain safety, send service communications, comply with law, and improve the platform.
Payment credentials such as card number, CVV, UPI PIN, OTP, and netbanking password must not be shared with BookGames staff or venue staff. Payment processing is handled by authorized payment partners.
12. Platform Availability and Liability
BookGames may be unavailable due to maintenance, outages, gateway failures, network issues, venue system issues, third-party downtime, or force majeure events.
To the maximum extent permitted by law, BookGames is not liable for indirect, incidental, special, consequential, punitive, or loss-of-profit damages. Nothing in these terms excludes liability that cannot be excluded under applicable law.
13. Complaints and Grievance Redressal
Players may contact BookGames support for booking issues, payment issues, refund requests, safety reports, content reports, or account issues.
Support email: support@bookgames.app. Security issues: security@bookgames.app. Grievance officer details must be published before public launch.
14. Changes, Law, and Disputes
BookGames may update these Player Terms. Material changes should be published on the platform and, where required, notified to users.
These terms are governed by the laws of India. Final dispute venue and jurisdiction should be confirmed by legal counsel before launch.
