Lounge Terms

Standards for lounges listed on BookGames and conduct expectations for players visiting those venues.
1. Scope and Definitions
These Lounge Terms describe the operating standards that apply to any lounge, gaming cafe, esports arena, console lounge, PC gaming center, VR arcade, racing simulator lounge, or similar offline recreation venue listed on BookGames, and the expectations BookGames sets for players visiting those venues.
Throughout BookGames documents, the word "Partner" refers to the lounge owner or the business that operates a lounge listed on BookGames. "Lounge" or "Venue" refers to the physical venue itself. "Player" refers to the person who books and attends a session at the lounge through BookGames.
These terms apply alongside the Partner Terms, Player Terms, Refund and Cancellation Policy, Privacy Policy, and the general Terms and Conditions.
2. Venue Standards
Listed lounges must maintain a clean, safe, well-ventilated, and well-lit physical environment for players.
Lounges must keep gaming hardware (PCs, consoles, controllers, headsets, peripherals, VR equipment, racing rigs, monitors, audio) in safe and functional condition, and must replace or service equipment that becomes unsafe or non-functional.
Lounges must comply with all applicable local laws including business registration, GST registration (where applicable), fire and safety norms, electrical safety norms, and licensing requirements.
3. Listing Accuracy
Lounges must keep listing details accurate including venue name, address, map location, photos, operating hours, station/resource inventory, pricing, amenities, accessibility information, age restrictions if any, and house rules.
Lounges must not misrepresent inventory, pricing, brand affiliation, hardware specifications, location, or service quality.
4. Availability and Honoring Bookings
Lounges must keep resource availability accurate in the dashboard and must honor confirmed bookings at the confirmed time and price.
If a resource becomes unavailable due to maintenance, breakdown, power failure, or other operational reasons, the lounge must update availability immediately and contact affected players through BookGames to reschedule, switch to an alternative resource, or trigger a refund.
5. Check-In, Session Start, and Access Codes
Lounges must verify the player and start the session at the booked time using BookGames check-in tools and the access code or QR code provided in the booking.
Players must arrive on time and must follow venue check-in procedures. Sessions may start late if the player arrives late, but the session end time will not be extended unless the lounge approves an extension.
6. Player Conduct at the Venue
Players must follow venue rules, staff instructions, and safety norms while at the lounge.
Players must not damage equipment, tamper with devices, bypass access controls, harass staff or other players, bring prohibited items including alcohol or illegal substances where not permitted by the venue, or create safety risks.
Lounges may deny entry, pause, or end a session, and may charge for damages, where conduct violates venue rules, law, or safety requirements. Refunds may be denied in such cases.
7. Hardware Use and Damage
Players must use venue hardware reasonably and as intended. Reasonable wear and tear is the lounge's responsibility.
If a player causes damage through misuse, negligence, intentional harm, or violation of venue rules, the player may be charged for repair or replacement. Lounges must support such charges with photos, incident reports, and repair estimates where requested by BookGames support.
8. Content and IP
Games, software, services, controllers, headsets, and content available at the venue may be licensed by the lounge from third parties. Players must not copy, modify, redistribute, pirate, or commercially exploit such content.
Streaming, recording, or broadcasting sessions from inside the venue requires venue permission and must not violate other players' privacy or any third-party rights.
9. Age Restrictions and Content Suitability
Some venues, games, or experiences may carry age restrictions. Lounges must enforce such restrictions and may verify age before allowing access.
Players must respect age restrictions and must not attempt to access content or experiences that are not age-appropriate or are restricted by law.
10. Health and Safety
Players with conditions that may be affected by extended screen time, flashing lights, VR motion, headphones, or intense gaming sessions should consult a healthcare professional and use venue equipment with appropriate care.
VR, racing simulators, and motion-based experiences may cause motion sickness or fatigue. Players should take breaks as needed and follow venue staff guidance.
11. Personal Belongings
Players are responsible for their personal belongings while at the venue. Lounges may offer storage facilities at their discretion. BookGames is not liable for loss of personal belongings at venues.
12. Disputes at the Venue
Disputes about service quality, equipment, billing, or conduct should first be raised with the venue manager on-site. Unresolved disputes may be escalated to BookGames support at support@bookgames.app with the booking ID and supporting details.
13. Suspension and Delisting
BookGames may suspend, delist, or terminate a lounge listing for poor service quality, repeated cancellations, high complaint rates, fraud signals, prohibited activity, legal risk, or payment partner requirements.
